About Paidback
Rank the unsold estimates worth chasing, work them, and count only the invoices that actually got paid.
Why it exists
Home-service shops pay hundreds of dollars per lead, then let the highest-value unsold estimates and inactive customers go dark because nobody has a defensible way to decide which of the 800 rows in the CRM to call today. The tools that promise to fix this (agencies at $1,500-$5,000/mo, micro-SaaS reactivation apps) all report PROJECTED recovery, so owners who have been burned by inflated agency dashboards do not believe the numbers and abandon the tool after one campaign. The unserved pain is not sending messages; it is knowing which opportunities are worth the effort and proving, invoice by invoice, which dollars actually came back.
Who it is for
Paidback's buyer is the owner or GM of an independent or small-fleet US home-service business — HVAC first, then plumbing and electrical — running 5-40 technicians and already paying for Jobber, Housecall Pro, ServiceTitan, or a comparable FSM from which they can pull a CSV export. They know their CRM is full of unsold estimates and gone-quiet customers; the problem is that nobody has a defensible, rankable way to decide which rows to act on today, and every agency or tool they've tried reports projected recovery numbers they've stopped believing. They want a self-serve, audit-trail-first tool that separates estimated potential from verified invoice dollars and tells them exactly who to call this week.
When I know there are hundreds of unsold estimates, cancelled jobs and customers we haven't seen in two years sitting in my job-management system, I want a ranked list of the few that are actually worth calling this week plus a record of which calls turned into paid invoices, so I can add revenue without buying another lead.
What it does
- Backlog Import
- Recovery Board
- Reactivation Queue
- Verified Revenue Ledger
- Monday Recovery Digest
What makes it different
A hard architectural line no competitor draws: estimated recovery potential and verified recovered revenue are two separate numbers, stored in separate tables, styled differently, and never summed together. Estimated potential is always shown with the multiplier that produced it. Verified revenue moves only when the owner confirms an invoice reference, a paid amount and a paid date. ServiceTitan/Jobber/Housecall Pro track estimates but rank nothing and reactivate nothing; agencies reactivate but self-report results. Paidback is the ranked call list plus the audit trail, self-serve, CSV-first, no integration required to get the first ranked board.
